HIRING CONDITIONS
THE HALL LICENCE
The person booking the hail (Hirer) is nominated as the Licensee and is responsible for maintaining the conditions of the licence in respect of the management of the function and Safety including Fire Precautions.

Alcohol-Licensing Act 2003
This hall is now licensed for the sale of alcohol.  Alcohol is not permitted to be sold in the foyer of the Hall.

Management:
The Hall Management Committee will ensure that the Hall is in a good state prior to hiring. The Hirer will leave the Hall in the same state as it was prior to hiring.
It is the responsibility of the Hirer to ensure that:
• they are in attendance during the whole period the hall is open to the public;
• the condition of the building and activities at the premises do not endanger those present;
• the use of the premises does not cause disturbance to nearby residents and passers-by;
• that everyone leaves as quietly as possible;
• the volume of amplified sound is under control; and
• all parts of the premises shall have sufficient lighting to enable adequate supervision.
The licence permits 140 people to attend a Theatre Production” and 200 for other Public Entertainment’.

All functions must finish by midnight PROMPT to allow for cleaning up.

Visitors are requested to leave quietly from the car park area giving due consideration to the neighbourhood.

Fire Precautions:
The licensee shall be familiar with the fire routine for the premises and means of calling the fire service.

The licensee shall, before admittance of the public:

* check that every exit door is unlocked and will easily open fully from the inside;
• check that each internal route leading to the exit doors and each external route leading from the exit doors to the assembly point is unobstructed and safe to use;

Emergency Lighting:

Will users of the Hall please note that it is a condition of our licence that emergency lighting and illuminated exit signs and exterior car park lights are switched on during the whole of any public function if there is insufficient daylight. The switches for these are:

Emergency lighting switches, identified by red stickers and marked on the plan, are located as follows:

I Inside front door to right as you enter- foyer
2 Inside main hail to right as you enter - main hall and outside
3 On left entering stage from front stairs -
4 Outside upper committee room - Top of stairs & committee room.

Please remember to turn them off when the hail is vacated.

The exterior car park lighting switch is located, and marked, on the left in the Caretaker’s Storeroom. When switched off you have a timed 3 minute delay in order to lock the main door and get to your car in the car park.

For a one off use of the exterior car park lighting,
PUT THE SWITCH ON AND IMMEDIATELY TURN IT OFF
for the same timed 3 minute delay.

Please ensure these lights are switched off
- they consume a vast amount of electricity!
Smoking:
There is to be NO SMOKING inside any part of the premises.
Smoking is only permitted outside under the front canopy; please ensure that the provided ashtrays are in place. At the end of your function please empty the ashtrays, return them to under the bar area of the kitchen and make sure that the outside floor is clean.
Fire Extinguishers:
These are marked as on the plan and situated as follows:

Kitchen    - 1 fire blanket and 1 dry powder extinguisher
Main Hall - Inside to right as you enter
             - On the left of the far double emergency exit doors
Stage      - 1 fire blanket stage right and 1 extinguisher - stage left

In an emergency, the assembly point is the main car park.

The nearest public telephone is on Jubilee Green: (after leaving the hall, turn left into Whitford Road, then turn right by Coppers” Residential Home.)

The nominated licensee must have access to a mobile phone at all times in case of emergencies.

First Aid Box:
This can be found in the kitchen under the far window.

A copy of these notes, the Licence conditions and the log book can be found on the notice board in the kitchen. Please read the full licence conditions carefully and carry them out to ensure a successful function.

NOTES FOR HALL USERS
General:
The walls of the hall has been specially sound-proofed with absorbent cladding. Please do not use Blu-tac, or the like to attach things to the walls. Very fine map pins can be used in the cladding with care!

Heating:
The controls for the heating are in the caretakers storeroom. Press the “one hour” button for the room required. To turn off the heating press the same button again.

Kitchen:
Chopping boards should be used for food preparation. There is an oven and microwave for reheating food and a fridge for keeping food cold. Please ensure that these are switched off at the end of your function and the fridge door is left open.


China is supplied for general use and is stored in the cupboards. The “sets” of china can be hired for functions or by arrangement with the booking secretary. No crockery is to be taken from the hall.

Cutlery is stored under the sink in containers.

Glasses are stored in the wooden cupboard in the rear storeroom.

Please ensure that all glasses, china and cutlery are clean and returned to their respective cupboards.

Hot Water:
There are four systems for obtaining hot water
1.  For small quantities of hot water - one large and two small kettles are provided for tea/coffee and small amounts of washing up.

2. An electric water heater (9Kw unit) supplies an instant quantity of hot water- please use the single tap on the right hand sink.
The switch is on the wall. Water will quickly run hot - very hot if the tap is not fully on.

3 & 4 When a larger quantity of hot water is needed there is a storage tank with two electric immersion heaters. The switches are on the bar end wall of the kitchen above the fridge.

PLEASE REMEMBER TO SWITCH THEM OFF

Water consumption:
Our water consumption is charged by meter. Use what is needed, but PLEASE DO NOT WASTE. Water costs us between £6 and £8 per week.
Hall:

Piano is regularly tuned and has an internal heating element to prevent dampness. This must be kept switched on all times.

Chairs (150) are stored in the rear storeroom. Please help to keep this room tidy by stacking as shown on the plans.
50 orange chairs are stored on the right hand side of the stage.

All tables are stored under the stage.
            12 Small on the left hand side.
            13 Medium in the centre
            10 Large on the right hand side
Please wipe clean after use and stack them tops to tops, legs to legs to avoid the surfaces being marked.

Rubbish:
All rubbish must be taken away from the hail after each function.

Housekeeping:
Brushes, dust pan, vacuum, etc. are in the caretaker’s cupboard by the Ladies Cloakroom. A large stepladder is in the back store room.

Floor:
Please help to keep the floor in good condition by clearing up any spillages immediately and removing any marks and litter.

Maintenance:
Please record all breakages, damage and defects in the log book attached to the notice board in the kitchen.

Electricity:
Please be as careful with lights as you would be at home. Our electric space heating is on time switches and thermostats, and there are frost prevention thermostats and heaters to safeguard the water supply to the kitchen and toilets in winter. (You will see a red light by a heater in Winter). Please do not switch them off - they are thermostatically controlled.
Our electricity bill averages between £20 and £25 per week throughout the year.

At the end of your function please ensure that all WATER HEATERS have been switched off in the kitchen, all ROOM HEATERS are switched off from the caretakers storeroom, all LIGHTS have been switched off; all WINDOWS and DOORS are closed and locked, especially the exterior doors.

The caretakers are employed on a part-time basis and are not responsible for cleaning up after an event.
Please use the enclosed check list to ensure the premises
are as you found them and ready for the next hirer.

THE HALL BELONGS TO THE VILLAGE - PLEASE LOOK AFTER IT.
